10 FLOWERS FOR 10 YEARS OF XARKIS

Founded in 2013 in Cyprus, Xarkis seeks to actively promote socio-ecological civic engagement, through artistic expression and practises of knowledge sharing and co-creation.

Our mission is to foster collaborative knowledge exchange, nurture dialogue between people interested in socio-ecological change, and engage with local cultures, through participatory artistic practices.

We are currently designing and planning fresh and exciting local, hyperlocal and international project proposals. We are looking to add new members to the NGO board and core team, based on the following priorities: Curation, Curation of Space, and Curatorial Advice for supporting the team in matters tied to curatorial practices, Communication Coordination for the external communication of our projects, alongside content creation and social media writing, Secretarial duties focused on administrational support, Sustainability Coordination in relation to our social and environmental strategy, Financial Coordination for Xarkis’ financial operations, Strategic Development for devising a plan of growth, to raise funds and to ensure our development and sustainability, Technical Support Coordination, Production Coordination and Research on various topics tied to practice-based research projects.

ABOUT XARKIS

We have organized 9 international Xarkis Festivals in Arsos, Lofou, Koilani, Polystipos Lympia and Agros (2013-2022), 1 celebration at the National State Fair (2013), 6 nomadic Xarkis Multi-Residency Programs in the villages of Lofou, Koilani, Lympia and Agros (2016-2022), 8 workshops and participatory projects including the Nicosia Pop-up Festival, City Plaza, (2014) 3 workshops at Tenta Festival, Kalavasos, (2015), 3 educational (non-formal learning) programmes including: Voicing & Craft Stories at NiMAC, Nicosia, (2017), 2 Masa potluck and Participatory Design workshops at the Museum of Cultural Heritage and at the Adult Center of Deryneia (2019), 5 kaFEMio coffee shops focused on feminist conversations in Polystipos (2019, 2020) with an online and a site-specific event at the Deryneia Adult Center and in Agros (2022), 1 digital Festival titled Everything Flows (2020), 1 award winnning digital platform called Voicing Stories focusing on oral stories and the related educational program at the Municipal Arts Center (NiMAC) Nicosia, (2017) with an EU Youth Social Entrepreneurship Award from the Youthopia Program, 1 Interdisciplinary Artists’ Residency Program (2020) and 1 transnational Arts Program titled CONTESTED DESIRES (2019-2022) funded by Creative Europe, in which we explore the impact of colonial heritage and are responsible for the communication of the consortium.

GENERAL NGO DUTIES

Xarkis NGO is currently made up of two groups: the Core Team and the Advisory Committee. The positions in the open call can fall under either of these groups and be applied through a discussion with current members. Both the Advisory Committee and the Core Team are made up of experienced individuals that collaborate to sustain the vision, mission and means of Xarkis. These values and responsibilities include: 

  • Employing knowledge, understanding and communicating key issues, challenges and resources.
  • Informing and suggesting priorities and recommended action plans for the organisation 
  • Advising and participating in the conceptualization and/or processes or delivery of projects
  • Mapping where possible grounds for collaborations with teams, individuals and initiatives, approving and supervising arrangements with collaborators 
  • Contributing to the agenda of board meetings and participating in working group meetings
  • Offering constructive feedback, exchange of ideas on current and future initiatives
  • Maintaining high standards of transparency and accountability
  • Researching, identifying and informing the team of relative funding resources
  • Advocating for funding strategies and participating  in funding decisions 
  • Voting in all board decisions

 

OUR PRACTICE

We design, curate, organise and manage practice-based research projects, nomadic initiatives, non-formal education programmes, interdisciplinary arts festivals, multi-residency programmes, exhibitions, workshops, gatherings, interventions, talks, lectures, and communication design initiatives including communication strategies, campaigns, films, publications and participatory web platforms.

OUR EXPERTISE

As a transdisciplinary team, Xarkis specialises in community engagement, creative direction, project management, research, education and practice in the fields of communication design, social design (incl. service design, co-design and design activism), architecture, visual arts (incl. fine art) performance art, experiential dance and cultural heritage, with a strong interest in humans and the environment. We offer design and co-design services as well as curate, produce and facilitate cultural, participatory and socio-ecological initiatives.

Please note:

  • The positions are for at least two years. 
  • The positions are subject to a performance review that is organised on a yearly basis, which outcomes are essential and may result in the appointed member having to step down.

 

COMMUNICATION EXPERTS

Role:

  • Actively participate and lead project meetings in matters of communication
  • Draft plan of action for communication, with dates and proposed media contacts to disseminate the communication to, locally and abroad (arranging interviews, articles, live streaming etc)
  • Prepare and upload new content, including written and visual communication posts to promote projects and being responsible for editing and spelling of social media posts 
  • Prepare and collect written material, photographs and/or collection of original visual material by participants of the Festival
  • Bilingual communication – translation wherever necessary in Greek and English 
  • Write interview questions for participants
  • Take photographs and videos wherever possible of participants and their initiatives
  • Create event pages with press releases, post press releases and projects’ main info.

CURATORS OF SPACE

Role:

  • Actively participate and lead project meetings in matters of curation of space
  • Discuss and plan the curation of space with the greater team and respective micro-teams before the start of projects
  • Co-facilitate and implement co-design workshops with local communities and members of the team for the planning and implement installations of space and other aspects of curation of space
  • Decide on any installations of space as well as shaded areas and other elements in consultation with the team, to be set up during the projects and de-installed after
  • Repurpose, reuse and recycle existing materials wherever possible
  • Set up spaces and installations, including the chill-out spaces, set designs, and project-designated areas
  • Set up soft spaces and tents, coordinate the activity areas and be responsible for setting up and handling elements regarding curation of space.

TECHNICAL SUPPORT COORDINATORS

Role:

  • Actively participate and lead project meetings in matters of technical support
  • Discuss and plan the technical elements of projects with the greater team and respective micro-teams at the pre-production phase
  • Set up spaces and installations, including the chill-out spaces, set designs and project-designated areas
  • Write inventories of tool kits and being responsible for sourcing the materials needed
  • Repurpose, reuse and recycle existing materials wherever possible
  • Decide on the designated warehouse space to safeguard equipment and project materials
  • Update the technical set-up for activities, attending and coordinate rehearsals and preparations wherever applicable
  • Coordinate transportation of the technical and curation of space crew.

SUSTAINABILITY COORDINATORS

Role:

  • Actively participate and lead project meetings in matters of sustainability
  • Develop and maintain an environmental and social strategy for Xarkis 
  • Research and implement organic, ecological and biodegradable solutions to products, materials, merch, printing and other consumables
  • Organise a google sheet/excel sheet outlining market research (local and international) for environmentally sustainable solutions for our projects
  • Generate a related programme for staff and volunteers and filling it in based on the needs of each project
  • Conduct market research into the strategic development plans for community engagement
  • Raise awareness about environmental challenges and opportunities.

RESEARCHERS

Role:

  • Actively participate and lead project meetings in matters of research
  • Propose (wherever applicable) research topics to explore as part of existing and/or new projects
  • Research thematic frameworks as part of current and emerging practice-based initiatives
  • Identify and Research funding applications tied to our projects 
  • Recommend ideas for effective research plans and implementation
  • Support Xarkis’ research and publications’ work and assist the team in the preparation, implementation and delivery of a research plan for each project.

CURATORS & CURATORIAL ADVISORS

Role:

  • Actively participate and lead project meetings in matters of curation
  • Join the curatorial team wherever possible and propose new projects to curate
  • Advise the curatorial team on selection processes and curatorial practices based on our socio-ecological priorities and community engagement
  • Advance and develop curatorial material for the organisation such as exhibitions, festivals, booklets, editions, online platforms etc
  • Recommend ideas for effective curatorial organisation and implementation
  • Support Xarkis’ research and publications’ work and assist the team in the preparation, implementation and delivery of a curatorial plan for each project.

SECRETARY

Role:

  • Actively participate and lead project meetings in matters of administration
  • Taking care of the organisational, preparatory, and executional aspects of administration
  • Being the first contact point for collaborators, participants, sponsors etc who want to connect with us (checking info@xarkis.org on a regular basis)
  • Taking minutes during meetings with team and collaborators 
  • Organising Xarkis online and physical folders 
  • Archive our work
  • Set up meetings and placing them on the calendar
  • Draft official letters for the director and/or other members of the board
  • Communicate and liaise with collaborators to book meetings, and offer reminders wherever necessary.

FINANCE OFFICER

Role:

  • Actively participate and lead project meetings in matters of finances
  • Draft and develop budgets for project proposals and implementing budgets once project proposals are approved 
  • Monitor expenses and income
  • Monitor, input and organise financial accounts including financial expenditures and bookkeeping
  • Draft, provide and maintain donor/sponsorship agreements and service agreements
  • Undertake financial control, prepare and analyse budgets, create financial reports
  • Produce recommendations on budget expenditures
  • Monitor disbursements to make sure that program funds are allocated appropriately by the end of each upcoming year
  • Offer orientation and training to the organisation staff on cost-effective management
  • Supervise the financial audits of all projects of the organisation
  • Offer financial inputs for proposal development, project management, human resource management policies, logistics, travel and other areas of administration
  • Ensure that all financial reporting is completed and submitted appropriately and on time to donors
  • Oversee the financial operations of Xarkis organisation and guarantee well-timed and systematic financial reports and methods including cash management, payroll etc.

STRATEGIC DEVELOPMENT OFFICERS

Role:

  • Actively participate and lead project meetings in matters of strategic development
  • Research capacity building programmes and contacts that can offer such services
  • Research funding schemes, donor and sponsorship opportunities online and locally
  • Create a database of existing and possible future donors
  • Write, develop and answer donor tenders/sponsorship applications, call for proposals and write appeals wherever necessary
  • Represent the organisation at donor/sponsorship meetings and follow up on possible funding opportunities
  • Investigate strategies for the long-term sustainability of the organisation and its activities
  • Create business plans for the purpose of ensuring the sustainability of projects and securing long-term incomes for the organisation and staff members
  • Build and liaise with contacts that can become donors, sponsors and partners
  • Advance and develop communications material for the organisation such as presentations, brochures, website, annual report, booklet, zine etc
  • Create, plan, implement, manage and oversee work related to fundraising for the organisation.

PRODUCTION COORDINATORS

Role:

  • Actively supervise, lead and coordinate pre-project, project and post-project meetings and tasks
  • Propose and implement production coordination timelines and task sheets
  • Responsible for the operations of our projects
  • Coordinate and supervise main responsibilities of key tasks of project teams and coordinators
  • Undertake regular quality checks, to check where things have been successfully completed, encouraging coordinators involved and mark tasks as completed, ensuring that deadlines are adhered to
  • Revise and delegate responsibilities for partners, staff, volunteers etc.
